How to remove duplicates in Excel

Duplicate rows are the most common reason CRM imports fail or create messy contact records. This guide walks through what to look for and how to remove duplicates safely.

Use the Remove duplicates from Excel tool

Start with a backup

Always keep the original export. Automated cleanup is reversible only if you retain the source file.

Fix whitespace first

" Jane " and "Jane" are different strings to a computer. Trim spaces before deduplicating or you will miss true duplicates.

Know exact vs key-field duplicates

Exact duplicates match every column. Record duplicates share an email or phone but may differ in name spelling — decide which to keep before bulk removal.

Use a review step

Never blind-delete rows. A good tool shows counts and samples so you can confirm the scope before downloading.

Checklist

  • Export values, not formulas, when possible
  • Trim whitespace on name and email columns
  • Remove exact duplicate rows
  • Review repeated emails separately
  • Validate row count after cleanup
