Fix whitespace first
" Jane " and "Jane" are different strings to a computer. Trim spaces before deduplicating or you will miss true duplicates.
Know exact vs key-field duplicates
Exact duplicates match every column. Record duplicates share an email or phone but may differ in name spelling — decide which to keep before bulk removal.
Use a review step
Never blind-delete rows. A good tool shows counts and samples so you can confirm the scope before downloading.
Checklist
- Export values, not formulas, when possible
- Trim whitespace on name and email columns
- Remove exact duplicate rows
- Review repeated emails separately
- Validate row count after cleanup
